JOB TITLE: OFFICE ASSISTANT
GENERAL DESCRIPTION: This position reports to the VP of Operations. The Office Assistant's responsibilities include acting as the primary person in the company's phone queue, supporting sales, accounting, project managers, and other departments as necessary.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: - Reception duties.
- Assist departments in gathering information and data in support of bid submissions.
- Provide data to external parties.
- Purchase order receiving.
- Handle incoming mail.
- Order lunches for meetings.
- Handle copier and security items.
- General admin functions that come up for the office.
- Job cost daily timesheets in the Timesheet Collection Program.
- Request initial GC insurance.
- RM receipt processing.
- Track GC contracts.
- Record and track change orders in CV.
- Track subcontracts.
- Track subcontract NTOs.
- Obtain monthly releases from subs and sub subs.
- Assist project managers and other departments as needed.
- Further responsibilities as required.
EDUCATION, SKILLS, AND ABILITIES REQUIRED: - A minimum of two years' experience as an office assistant.
- Experience in electronic and physical filing relating to documents, contracts, and forms.
- Experience in MS office.
- Communication skills: Excellent verbal and written communication to interact with colleagues, clients, and customers effectively.
- Organizational skills: Ability to manage multiple tasks, prioritize effectively, and maintain a structured workspace.
- Computer proficiency: Familiarity with standard office software like Microsoft Office Suite (Word, Excel, PowerPoint).
- Attention to detail: Accuracy in completing tasks and maintaining records.
- Time management: Efficiently managing deadlines and allocating time to different tasks.
- Multitasking: Ability to handle multiple responsibilities simultaneously.
- Confidentiality: Maintaining the privacy of sensitive information.
- Customer service skills: Providing friendly and helpful support to internal and external clients.
PHYSICAL REQUIREMENTS/ ADA ESSENTIAL FUNCTIONS - Ability to sit or stand for extended periods of time.
- Manual dexterity and hand-eye coordination for typing, filing, and using office equipment.
- Visual acuity and ability to read small print.
- Hearing acuity and ability to communicate effectively with others.
- Ability to lift and move office supplies and equipment.
- Mobility and ability to move around the office as needed.
WORKING CONDITIONS - Minimal risk of exposure to unusual elements.
- Minimal risk of safety precautions.
